A checklist is a list of items or tasks to document, verify, and closely followed. The task list in a checklist should also be remembered, but since it is difficult to remember a long list of tasks and items, the tasks and items are documented for reference and so that they are not forgotten.

An ideal checklist for the meeting planner or event planning guide should include the purpose and theme of the meeting; the meeting agenda; the location of the meeting; an estimate of costs such as location, refreshments, electricity, and decoration costs; the program of functions to be held and the cost of hiring a DJ and holding the functions after having auditions and obtaining quotes; initial quotes from different bidders on multiple items; the list of sponsorships and the amounts of these sponsorships; the amount to be billed as an admission fee; the tentative date of the meeting; the guest list and the VIP list to invite; etc. In the meeting planner checklist or the meeting planner form, you should also include items such as how the invitation cards should be designed; the role of public relations; preparation of press releases; the collection of biographical data of personalities and invited celebrities; special permissions that may be required to organize the meeting at a certain location that has been selected.

Your meeting planner checklist doesn’t stop there. As the date of the meeting gets closer and closer, you need to check and reconfirm that everything is as you decided, that there is no controversy about the place, date and time, before finally sending the invitation cards.
